How to Collect More Reviews

The Ask

Most happy patients will leave a review. They just need a nudge.

  1. Time it right — ask after session 20+ when they’re feeling better, not on day one
  2. Make it dead simple — hand them a card with a QR code that goes straight to your Google review page
  3. Follow up — a friendly email or text after treatment ends with a direct review link
  4. Get your techs involved — they’ve spent 6 weeks building rapport. They’re in the best position to ask.

What Not to Do

  • Don’t offer incentives for reviews (violates platform policies and potentially FTC guidelines)
  • Don’t write fake reviews or have staff pose as patients
  • Don’t only ask the patients you know are happy — that kind of selection bias undermines credibility
  • Don’t post reviews that include PHI without explicit written consent

Responding to Negative Reviews

They happen. How you handle them matters more than the review itself.

Do

  • Respond within 24–48 hours
  • Thank the reviewer for sharing their experience
  • Acknowledge their concern without getting defensive
  • Invite them to reach out directly to resolve things
  • Keep it short and professional

Don’t

  • Ignore it
  • Get defensive or argue
  • Reveal any patient health information (that’s a HIPAA violation)
  • Offer compensation publicly
  • Copy-paste the same response on every review

  • Set up Google Alerts for your clinic name
  • Check reviews weekly across all platforms
  • Track your average rating monthly
  • Respond to every review — good and bad
  • Report fake or spam reviews to the platform
