How to Collect More Reviews
The Ask
Most happy patients will leave a review. They just need a nudge.
- Time it right — ask after session 20+ when they’re feeling better, not on day one
- Make it dead simple — hand them a card with a QR code that goes straight to your Google review page
- Follow up — a friendly email or text after treatment ends with a direct review link
- Get your techs involved — they’ve spent 6 weeks building rapport. They’re in the best position to ask.
What Not to Do
- Don’t offer incentives for reviews (violates platform policies and potentially FTC guidelines)
- Don’t write fake reviews or have staff pose as patients
- Don’t only ask the patients you know are happy — that kind of selection bias undermines credibility
- Don’t post reviews that include PHI without explicit written consent
Responding to Negative Reviews
They happen. How you handle them matters more than the review itself.
Do
- Respond within 24–48 hours
- Thank the reviewer for sharing their experience
- Acknowledge their concern without getting defensive
- Invite them to reach out directly to resolve things
- Keep it short and professional
Don’t
- Ignore it
- Get defensive or argue
- Reveal any patient health information (that’s a HIPAA violation)
- Offer compensation publicly
- Copy-paste the same response on every review
